What Does the Shift Payroll Calculator Calculate?
The calculator combines your weekly shift schedule with the pay settings you enter.
It can estimate:
- Total paid hours for the week
- Regular working hours
- Overtime hours
- Regular hourly pay
- Overtime hourly rate
- Regular pay
- Overtime pay
- Shift premium pay
- Estimated gross weekly pay
- Daily shift-hour breakdown
How Is Weekly Shift Payroll Calculated?
The calculator first works out the paid time for each active shift.
The basic shift-hours formula is:
Paid Shift Hours = Shift End Time - Shift Start Time - Unpaid Break
The paid hours from all selected days are then added together to find your total weekly paid hours.
How Are Regular Hours Calculated?
Regular hours are the paid hours up to the weekly overtime threshold you enter.
For example, if your selected overtime threshold is 40 hours and you work 45 paid hours:
- Regular Hours: 40 hours
- Overtime Hours: 5 hours
The calculator does not assume that 40 hours is a universal overtime rule. You can enter the threshold that applies to the estimate you want to make.
How Is Regular Pay Calculated?
Regular pay is calculated by multiplying regular hours by the regular hourly rate.
Regular Pay = Regular Hours × Regular Hourly Rate
For example:
40 hours × €16 = €640 regular pay
How Is Overtime Pay Calculated?
If your weekly paid hours exceed the overtime threshold you entered, the additional hours are treated as overtime for this calculation.
First, the overtime hourly rate is calculated:
Overtime Rate = Regular Hourly Rate × Overtime Multiplier
Overtime pay is then:
Overtime Pay = Overtime Hours × Overtime Rate
Shift Payroll Example
Suppose a worker has the following pay settings:
- Hourly Rate: €16
- Overtime Threshold: 40 hours
- Overtime Multiplier: 1.5×
- Total Weekly Paid Hours: 45 hours
- Shift Premium: €0 per hour
Regular pay:
40 × €16 = €640
Overtime hourly rate:
€16 × 1.5 = €24
Overtime pay:
5 × €24 = €120
Estimated gross weekly pay:
€640 + €120 = €760
Shift Payroll With Unpaid Breaks
Unpaid breaks are deducted from each shift before the weekly paid hours are calculated.
For example, a shift from 9:00 AM to 5:00 PM lasts 8 hours in total. With a 30-minute unpaid break, the paid time for that shift becomes 7 hours and 30 minutes.
If the same schedule is worked Monday to Friday:
7.5 hours × 5 days = 37.5 paid hours
Shift Payroll With Overtime
Overtime can make a significant difference to weekly earnings, so this calculator separates regular and overtime hours rather than applying one hourly rate to the entire week.
You can choose an overtime multiplier such as 1.25×, 1.5×, 2× or another available option.
For a dedicated overtime calculation using total hours rather than a full weekly shift schedule, use the Overtime Calculator.
Shift Payroll With Shift Premium
Some shift workers may receive an additional amount per paid hour for certain shifts. The calculator includes an optional shift-premium field so you can include this amount in your estimate.
The premium calculation is:
Shift Premium Pay = Total Paid Hours × Premium Per Paid Hour
For example, if you work 40 paid hours and enter a €2 premium per paid hour:
40 × €2 = €80 shift premium
How Is Estimated Gross Weekly Pay Calculated?
The calculator combines the main pay components using this formula:
Estimated Gross Weekly Pay = Regular Pay + Overtime Pay + Shift Premium Pay
The result is a gross estimate before tax, deductions and other payroll adjustments.
Weekly Shift Payroll Example: Monday to Friday
Imagine you work from 9:00 AM to 5:00 PM Monday to Friday with a 30-minute unpaid break each day.
| Day | Shift | Unpaid Break | Paid Hours |
|---|---|---|---|
| Monday | 9:00 AM - 5:00 PM | 30 min | 7.5 |
| Tuesday | 9:00 AM - 5:00 PM | 30 min | 7.5 |
| Wednesday | 9:00 AM - 5:00 PM | 30 min | 7.5 |
| Thursday | 9:00 AM - 5:00 PM | 30 min | 7.5 |
| Friday | 9:00 AM - 5:00 PM | 30 min | 7.5 |
| Total | - | 2h 30m | 37.5 hours |
At €16 per hour, 37.5 paid hours would give an estimated gross weekly pay of €600, assuming no overtime or additional premium.
Payroll for Night and Overnight Shift Workers
The calculator can also handle shifts that finish after midnight. When the finish time is earlier than the start time, the calculation treats the finish as occurring on the following day.
If you mainly need to calculate overnight working hours and breaks before calculating payroll, use the Overnight Shift Calculator .
Shift Payroll Calculator vs Shift Pay Calculator
These calculators serve different purposes.
The Shift Payroll Calculator is designed for a complete weekly shift schedule. It combines multiple working days, breaks, overtime and optional premiums into one weekly gross-pay estimate.
If you only need to calculate the earnings from one individual shift, use the Shift Pay Calculator .
Shift Payroll Calculator vs Weekly Hours Calculator
The Weekly Hours Calculator is primarily designed to calculate how many hours you worked across the week.
The Shift Payroll Calculator goes further by combining weekly shift hours with hourly pay, overtime and premium settings.
If you only need total weekly working time without payroll calculations, use the Weekly Hours Calculator .
Shift Payroll Calculator vs Work Hours Calculator
The Work Hours Calculator is useful when you want to calculate time from multiple clock-in and clock-out periods.
The Shift Payroll Calculator is better when you already have a weekly shift schedule and want an estimated payroll result from those shifts.
Who Can Use a Shift Payroll Calculator?
The calculator can be useful for hourly and shift-based workers who want to estimate weekly earnings from changing schedules.
It may be useful for people working in hospitality, retail, healthcare, warehousing, manufacturing, security, transport, customer service and other industries that use hourly or shift-based schedules.
Employers, supervisors and workers can also use it for general planning and checking calculations, but it is not a replacement for an official payroll system.
Why Calculate Payroll From Individual Shifts?
Shift-based schedules can vary from day to day. One day may be longer, another shorter, and some shifts may cross midnight.
Calculating each active shift separately makes it easier to account for daily unpaid breaks before adding all paid hours together for the week.
This is especially useful when your schedule is not a standard fixed Monday-to-Friday pattern.
Does the Shift Payroll Calculator Calculate Tax?
No. The calculator estimates gross pay before tax and deductions.
Income tax, social insurance, pension contributions, benefits, payroll deductions and other adjustments depend on the worker, employer and applicable tax system.
For that reason, they are not automatically included in this calculator.
Does the Calculator Automatically Know My Overtime Rules?
No. Overtime rules can vary by workplace, employment agreement, jurisdiction and other circumstances.
The calculator allows you to enter the weekly overtime threshold and overtime multiplier you want to use. The result is based on those values.
Does the Calculator Include Paid Breaks?
The daily break field is designed for unpaid break time that should be deducted from the shift.
If a break should remain part of your paid hours for the calculation, do not enter it as an unpaid break.
Frequently Asked Questions
What is a shift payroll calculator?
A shift payroll calculator estimates earnings from a shift-based work schedule. It can combine daily paid hours, hourly rate, overtime and optional shift premiums into an estimated weekly gross-pay result.
How do I calculate weekly payroll for shift workers?
Calculate the paid hours for each shift, add them together, separate any hours above your selected overtime threshold, calculate regular and overtime pay, then add any applicable premium you entered.
How do I calculate paid hours for a shift?
Subtract the shift start time from the finish time, then subtract any unpaid break. The remaining time is the paid shift time used by this calculator.
Can I calculate overtime pay?
Yes. Enter the weekly overtime threshold and overtime multiplier you want the calculator to use. Hours above that threshold will be calculated at the selected overtime rate.
Can I calculate night shift payroll?
Yes. The calculator can handle shifts that cross midnight. You can also enter an additional premium per paid hour if you want to include a specific shift premium in the estimate.
Can I calculate Saturday and Sunday shifts?
Yes. The calculator includes all seven days from Monday through Sunday. Switch on the days you work and enter the shift details for each day.
Can I use different working hours each day?
Yes. Each day has its own start time, finish time and unpaid break, so your shifts do not need to be the same length.
Does this calculator calculate net pay?
No. The result is estimated gross pay before taxes, deductions and other payroll adjustments.
Is the overtime threshold always 40 hours?
No. The calculator uses the overtime threshold you enter. The correct threshold for a real payroll calculation can depend on employment terms and applicable rules.
